Magistrate Management System
The Magistrates’ Management System is designed to successfully allocate Magistrates to sessions as quickly and effectively as possible.
It is also possible to import magistrate’s non-availability dates from an Excel spreadsheet directly into the system to save time on data input.
The task of adding or amending magistrate information is a fast, trouble-free process. Information such as holidays, unavailable days and other commitments are added here.
The system will automatically generate the magistrates which “best fit” the given sessions between the user entered date range, taking in to account the days a magistrate is unavailable to sit and whether or not they are qualified to sit that particular session. The system will also choose to allocate first those magistrates who are more difficult to place, for example a magistrate who can only sit on Mondays will be placed before a magistrate who can sit any weekday.
The applications of magistrates along with magistrate training undertaken and due to take is also managed within the system. Reports such as all magistrates who took part or are due to take part in a course can also be produced along with advanced mail merge facilities.
After the mass allocation the system will display those results where there are gaps and show the user a list of possible magistrates who are available to sit that session. The user may then manually select a magistrate to fill the vacancy.
The system also produces calendar overviews of the magistrates’ sitting on that day in several different formats:
>> A calendar for every magistrate showing only the sessions they are sitting both monthly and yearly.
>> A calendar showing all allocated magistrates for a specific court.
>> A calendar which shows all allocations
Comprehensive printing facilities are also included in the system to produce the following reports based on user entered dates:
>> To print a full list of the sittings.
>> To print a list of the allocated sittings etc based on a combination of LJA Code, Courtroom, Indicator and Court.
>> A yearly summary report showing all allocations.
>> A list of sittings for each individual magistrate

In order to quickly locate magistrate or session information the system uses "Quick Search" facilities
Similarly the task of creating sessions is a simple process that will create sessions between dates i.e. sessions can be created for the entire year at once if necessary.
The system also implements the preliminary preparation of benches enabling the user to view and if necessary manually amend magistrate allocations before confirming and accepting them.
